Creating a Policy Approval Workflow

[00:00] When first looking to start using the power of the policy center, you need to ensure that you have a policy approval workflow created all new policies, must have an approval workflow, which is then utilized to publish the policy, ensuring that all new policies go through a governance approval process to do this.

First, we click on the governance icon on the left hand navigation, and then governance workflows. This takes us to the governance workflows overview page. Clicking on the new button on the top right brings us to the workflow creation page where we can select the type of workflow that we are creating. The policy approval workflow type is the only type that is allowed when assigning to a policy for approval. So we select this clicking on used template brings the new workflow popup.

Policy workflows can be used for multiple policy approvals, allowing us to create a single workflow that can be reused on all new policies where we may have a centralized governance or legal team in charge of policy approval. In this [01:00] example, we name it legal policy approval. The description field allows for additional context to be added to the workflow, so including the overall purpose along with aspects such as the specific teams that will be included in the review are some recommendations to add, which we do clicking create brings the sidebar where we will select the policy types. This policy approval workflow will apply to Here. We are able to designate what types of policy workflows this may actually be used for, or we can select all allowing it to be used for any policy approval.

If we had different legal or governance approvers based on the policy type. This easily allows us to assign a workflow that can be used for any of those policies of those types, such as a security or privacy policy.

If we had just a single team of users that will approve policies, then we can select all, allowing the workflow to be selected for any policy type that is created here. We'll go ahead and select all this updates, the selection to include all policy [02:00] options and clicking save and continue updates the sidebar to show the approval process. Here we are given the option to select the approvers for the workflow at the top. The option for anyone approves can be used to allow approval to happen. If anyone specified as an approver actually approves. If we need all users or groups selected to approve, but in no specific order, we can select the all approve parallel. We can even align the approval to internal approval workflows where we can actually set up sequential approvers based on those that we have selected. This is done using the all approve sequential option for this workflow though. We'll go ahead and keep it as any anyone approves.

Below this, we have the ability to select those that will be included in the review and approval process. Clicking on the ADD user groups brings a popup, allowing us to select either individual users in Atlan or by clicking on the groups tab. [03:00] Specifying groups containing users.

Once we've selected the users and groups needed for approval,

The request expiry can be set.

. This value determines the amount of time the review and approval period will last.

With those included getting a notification for approval in their task inbox. Once the expiry ends, if not approved, the policy will be returned back to draft, allowing for resubmission.

By default, it's set to 10 days, which we'll go ahead and keep clicking, save and continue finishes the setup of the workflow. The last step is clicking publish, which now allows the workflow to be used for any policies going forward to match the policy type specified for approval.
