## How can a data catalog support self-service analytics?

A data catalog supports self-service analytics by helping business users find the right dataset, understand each field in business terms, judge whether the data can be trusted, and reach sensitive columns only under the right rules. The catalogs that work best show that context inside the BI tool people already use. Without it, self-service analytics turns into a queue of "where is this data?" tickets, or into ten dashboards with ten different revenue numbers.

## Key takeaways

- A business user cannot audit a pipeline. They need a signal they can read in two seconds.
- A useful column description answers three questions: what the value means, where it comes from, and when not to use it.
- Metric logic is the gap teams underestimate most.
- Ten trusted tables beat a thousand undocumented ones.

## What does a data catalog do for self-service analytics?

[Self-service analytics](https://atlan.com/what-is-self-service-analytics/) means business users answer their own questions without filing a request. The tools for building charts are the easy part. The hard part is [everything an analyst knows](https://atlan.com/know/data-for-ai/tribal-knowledge/) before opening the tool: which table is current, what "active customer" means, and who to ask when a number looks wrong.

A data catalog writes that knowledge down and makes it searchable. It holds [three kinds of metadata](https://atlan.com/know/ai-agent/data-for-ai/types-of-metadata-for-ai-agents/), [commonly defined](https://aws.amazon.com/what-is/data-catalog/) as business metadata (the value the data gives the business), technical metadata (the structure of a dataset) and operational metadata (where the data came from and how it was transformed). [The same guide](https://aws.amazon.com/what-is/data-catalog/) says a catalog lets you build "self-service analytics workflows for non-technical data users." Those metadata types turn into five jobs.

| Job | The business user asks | The catalog supplies | Without it |
|---|---|---|---|
| Find | "Is there a table for churn by region?" | [Search across warehouse, dbt and BI assets](https://atlan.com/know/ai-agent/data-for-ai/enterprise-search-with-ai/) | A Slack message to the data team |
| Understand | "What does `cust_stat_cd` mean?" | Descriptions and glossary terms | Guessing, then a wrong filter |
| Trust | "Is this dashboard still maintained?" | Certification, owners, freshness, lineage | Two teams report two numbers |
| Access safely | "Can I see this column?" | Classification tags tied to [masking and access rules](https://atlan.com/know/ai-agent/context-layer/context-layer-role-based-access-control/) | Blanket access, or none at all |
| Use in place | "What is this field, from inside my dashboard?" | Catalog context shown in the BI tool | Nobody opens the catalog tab |

## How does a data catalog help business users find and understand data?

Warehouses hold thousands of tables with names like `fct_orders_v2_final`, and the person who knows which one is current is usually busy. A catalog indexes every table, column, model and dashboard, then ranks results with signals that a database listing cannot give: [how often an asset is queried](https://atlan.com/know/ai-agent/data-for-ai/what-is-sql-intelligence/), who owns it, and whether it is certified.

Search alone is not enough, because the business user searches in business words. Nobody types `cust_stat_cd`. They type "customer status." A [business glossary](https://atlan.com/know/ai-agent/how-to-manage-kpi-definitions-and-a-business-glossary-in-a-data-catalog/) closes that gap by linking a defined term to the columns and reports that hold it. [A universal glossary is a core catalog feature](https://aws.amazon.com/what-is/data-catalog/) for exactly this reason: one agreed definition per term, so "customer ID" means the same thing in finance and in marketing.

Good descriptions do the rest. A useful column description answers three questions: what the value means, where it comes from, and when not to use it. "Revenue, net of refunds, in USD, booked date; excludes trial accounts" saves more analyst time than a paragraph of background.

Two practices make [discovery](https://atlan.com/know/ai-agents-vs-humans-data-discovery/) work for non-technical users:

- **Label what is safe for self-service.** Tag a small set of datasets as approved for self-service, and tag the rest as needing help from the data team. The approved set is where new users start.
- **Write for the reader who knows the business and not the schema.** A sales manager knows what a pipeline stage is. They do not know which of four stage columns is the current one.

For the wider question of how self-service changes [a data team's operating model](https://atlan.com/know/centralized-vs-federated-data-teams-in-the-ai-era/), see [self-service analytics vs centralized BI](https://atlan.com/know/self-service-analytics-vs-centralized-bi/).

## How does a data catalog show which data analysts can trust?

A business user cannot audit a pipeline. They need a signal they can read in two seconds. Most BI tools already produce some of these signals, each in its own corner:

- **Certification.** In [Power BI](https://atlan.com/know/ai-agent/microsoft/how-does-purview-govern-microsoft-fabric-and-power-bi/), [endorsement has two levels](https://learn.microsoft.com/en-us/power-bi/collaborate-share/service-endorsement-overview): promoted, which any content owner can apply, and certified, which only reviewers named by the Power BI administrator can apply. Endorsed content is labeled and given priority in searches.
- **Quality warnings.** Tableau lets you attach [data quality warnings](https://help.tableau.com/current/online/en-us/dm_dqw.htm) such as Warning, Deprecated, Stale data and Under maintenance. Enabled monitoring warnings are added automatically when an extract refresh or flow run fails, and removed when a later run succeeds.
- **Lineage.** If your tables live in Azure Databricks, [Unity Catalog](https://atlan.com/know/ai-agent/semantic-layer/unity-catalog-vs-cross-platform-semantic-layer/) [captures lineage down to the column level](https://learn.microsoft.com/en-us/azure/databricks/data-governance/unity-catalog/data-lineage) and shows which dashboards consume a table.

The problem is that a self-service user rarely stays inside one tool. A Tableau dashboard reads a dbt model that reads a [Snowflake table](https://atlan.com/know/context-layer-for-snowflake/). If the table is deprecated in the warehouse but certified in the BI tool, the badge the user sees is wrong.

A [cross-system catalog](https://atlan.com/know/data-catalog/can-a-data-catalog-sit-on-top-of-existing-catalogs-without-replacing-them/) joins these signals into one trust view per asset: who owns it, when it last refreshed, what feeds it, what depends on it, and whether a named person has certified it. [Lineage](https://atlan.com/know/ai-agent/data-for-ai/data-lineage-for-ai/) matters most here. When a number looks off, the user can [trace it upstream](https://atlan.com/know/mcp/data-lineage-rca-with-mcp/) and see that the source table missed last night's load, before they send the dashboard to their VP.

## How does a data catalog keep self-service analytics governed?

Self-service widens access, so [governance has to scale](https://atlan.com/know/data-governance/how-to-scale-data-governance-across-business-domains/) without a person reviewing every query. A catalog helps in three ways.

First, it separates seeing metadata from reading data. In Unity Catalog on Azure Databricks, a user with the [`BROWSE` privilege](https://learn.microsoft.com/en-us/azure/databricks/data-governance/unity-catalog/data-lineage) can view the lineage graph for tables they cannot query. A business user can learn that a dataset exists, what feeds it and what uses it, then request access through the right channel. Discovery stays open while data stays closed.

Second, [classification tags](https://atlan.com/know/ai-agent/ai-agent-governance/data-governance-taxonomy/) carry policy. When a catalog tags a column as [personal data](https://atlan.com/know/ai-agent/data-for-ai/how-to-handle-pii-in-ai-pipelines/), that tag can drive enforcement in the warehouse. In [Snowflake](https://atlan.com/know/snowflake/snowflake-horizon-context/), a [tag-based masking policy](https://docs.snowflake.com/en/user-guide/tag-based-masking-policies) attaches a masking rule to a tag, so any column with that tag is protected automatically when the data types match. The feature requires Snowflake Enterprise Edition. The effect for self-service is direct: a new table with an email column is masked the day it is tagged, with no ticket.

Third, ownership gives every asset a named person. When a self-service user finds a problem, the catalog tells them who to tell. Without owners, issues reach the central team by default, and the queue that self-service was meant to shrink comes back.

The balance between open access and control is its own design problem. [How to balance self-service and data governance](https://atlan.com/know/how-to-balance-self-service-and-data-governance/) covers the trade-offs in depth.

## What can't a data catalog do for self-service analytics?

A catalog is necessary for self-service analytics. It is not sufficient. Four gaps stay open after you deploy one.

| Gap | Why the catalog alone falls short | What closes it |
|---|---|---|
| Metric logic | A catalog can describe "net revenue," but it does not compute it | A [semantic layer](https://atlan.com/know/semantic-layer/) that defines the calculation once |
| Curation work | Descriptions and certificates go stale unless someone owns them | Named owners and a review cadence |
| Adoption | A catalog in a separate tab is [a catalog nobody opens](https://atlan.com/know/is-the-data-catalog-finally-dead/) | Context embedded in BI tools and chat |
| Data skills | Knowing where data is does not teach how to read a cohort chart | Training and office hours |

[Metric logic](https://atlan.com/know/ai-agent/semantic-layer/semantic-layer-for-analytics/) is the gap teams underestimate most. The [dbt Semantic Layer docs](https://docs.getdbt.com/docs/use-dbt-semantic-layer/dbt-sl) describe the fix: centralize [metric definitions](https://atlan.com/know/ai-agent/semantic-layer/semantic-layer-vs-metrics-layer/) so that "if a metric definition changes in dbt, it's refreshed everywhere it's invoked." The catalog's job is to make those definitions findable and to link each [glossary term to the metric](https://atlan.com/know/ai-agent/semantic-layer/semantic-layer-vs-data-catalog/) that implements it.

Stale metadata is worse than none. A description that was true last year sends users to the wrong table with confidence. [Treat catalog content like code](https://atlan.com/know/ai-agent/context-engineering/context-development-lifecycle-for-ai-data/): someone owns it, and it gets reviewed when the source changes.

## How do you roll out a data catalog for self-service analytics?

Start from demand, not from the full inventory. A practical sequence:

1. **Pick the questions people ask most.** Pull the last quarter of data-team tickets and list the datasets they touch.
2. **Assign an owner to each of those datasets.** No owner, no certificate.
3. **Certify a small set and deprecate the rest.** Ten trusted tables beat a thousand undocumented ones.
4. **Define the top metrics in the glossary** and link each term to its columns and dashboards.
5. **Tag sensitive columns** and connect the tags to masking or [access policies](https://atlan.com/know/zero-trust-data-governance/) in the warehouse.
6. **Put [catalog context inside the BI tool](https://atlan.com/know/ai-agent/context-layer-for-data-analytics-teams/)** so users see owners and certificates where they work.
7. **Measure.** Track ticket volume, search success, and the share of queries that hit certified assets.

## How does Atlan support self-service analytics?

Atlan [certificates](https://docs.atlan.com/product/capabilities/discovery/how-tos/add-certificates) mark an asset as Verified, Draft or Deprecated, so users can tell at a glance whether it is ready to use. The [Atlan browser extension](https://docs.atlan.com/product/integrations/automation/browser-extension/how-tos/use-the-atlan-browser-extension) shows asset metadata in a sidebar inside supported tools such as Tableau, Snowflake and dbt Cloud.

[North](https://atlan.com/customers/north-snowflake-sigma-governance/), a payments solution provider, runs self-service analytics on [Snowflake](https://atlan.com/know/snowflake/atlan-snowflake-architecture/) and Sigma and uses Atlan for discovery and governance. [Connecting over 225,000 data assets took just hours](https://atlan.com/customers/north-snowflake-sigma-governance/), and the team used Atlan's Chrome Extension to show definitions in a sidebar inside Sigma. With its most sensitive data tagged and governed by the right access policy, North [can offer self-service analytics to more business users than before](https://atlan.com/customers/north-snowflake-sigma-governance/). Daniel Dowdy, Vice President, Data Analytics & Governance, [said](https://atlan.com/customers/north-snowflake-sigma-governance/): "Beginning with 10 users in 2019, we now have over 350 users in Sigma, with an annual growth rate of more than 200% year-over-year. Now, Sigma is our self-service analytics platform, and it's taken a lot of burden off our data team."

## FAQs about data catalogs for self-service analytics

### Is a data catalog the same as a self-service analytics tool?

No. A self-service analytics tool, such as a BI platform, is where users build charts and run queries. A data catalog is where they learn what data exists, what it means and whether to trust it. The two work together: the BI tool answers the question, and the catalog makes sure the user asked it of the right data.

### Do business users need SQL to use a data catalog?

No. Business users search a catalog with business words, read plain-language descriptions and glossary terms, and check certificates and owners. SQL helps for deeper analysis, but finding and judging data does not need it. Catalogs that show context inside BI tools remove the need to switch tools at all.

### How do you measure whether a data catalog helps self-service analytics?

Track three numbers before and after rollout: the volume of "where is this data?" tickets to the data team, the share of searches that end on an asset the user opens, and the share of dashboard queries that hit certified datasets. Falling tickets and rising certified usage together show the catalog is doing its job.

### Who should certify data in a catalog?

The person accountable for the dataset, usually a data owner or steward in the domain that produces it. Central data teams can set the standard for what certified means, but they should not certify every asset themselves. Power BI follows the same idea: only reviewers named by an administrator can certify content.

### Does a data catalog help AI agents with self-service analytics?

Yes. An AI agent answering a business question needs the same things a human analyst needs: the right table, the agreed metric definition and the access rules. Catalog metadata gives the agent that context. Governance for agents adds new requirements, covered in self-service analytics governance for AI agents.
