00:00 — Setting up a schedule for a recurring query
Our top product sales query is completed, however, we also know that we have some data consumers that expect these results on a weekly basis. Normally, we run these queries for them and send them the results through email, which truly is a waste of our time. We can utilize the scheduled queries functionality to automate this process, saving ourselves and the rest of the data team time from having to continually send repeated results to the same users on a specified cadence. We can add a schedule in two different ways. On the query listing on the left-hand side, we can click on the three dots and select schedule query.
Or, since we have the query open, we click on the drop-down icon next to the run button. Here, we are given the option to email the results, which would email the results to ourselves, and should be utilized if there are over 100,000 results from our query. We also can set up the schedule, which is what we click on. The schedule a query popup window appears. We can update the name of the query if desired, so that when sent the user will see the name we have specified. Since this query can be run against different departments due to the custom variable, we will update this to Top Bakery Product Sales.
01:00 — Setting the cadence, recipient, and query variable
Next, we can set the schedule that we want the query to run and send results. Since we normally send the results on Friday, we update the cadence to weekly and change the day to Friday. Additionally, we change the run start to 8. Finally, for the bakery results, we normally send these to Geoff, so we select him as the user who will receive the results. If our query did not have custom variables, this would be the last step, and our query would be scheduled. However, since we do have custom variables, we need to set the value we want this to run against, so we click the next button.
We are brought to the option to set the variable for the query to run against. We update this to bakery, as those are the results that Geoff needs, and click done. This will send the results to Geoff on the schedule we have set up. We can repeat this process and add different schedules while changing the department variable for each so that we can send the exact results our users need without having to create multiple queries. With that, our end users now not only have the ability to self-serve on queries that we have built, but also will have their results automatically sent to them on a scheduled basis. Our end users are now set to explore our data with confidence.
